# Students

A student is an account in your school's student portal: a name, an email and a password. The account is separate for each school: a person who studies in two of your schools signs up in each of them.

Students appear in the school on their own when they sign up in the student portal — by email or with a platform account. You cannot add a student manually or upload a list from a file. How a student signs up is described on the [Student portal](https://support.watbot.org/schools/cabinet) page.

## The list of students

The "Students" section in the school menu. At the top is a search by name or email and the "All courses" filter, which leaves the students of one course. The search starts with the "Search" button or the Enter key.

In the table:

| Column | What it shows |
|---|---|
| "Student" | Name and email |
| "Courses" | The courses the student has access to. Hover over a course to see the progress: "…% completed" |
| "Status" | "Active", "Not verified" — the student has not followed the link from the email and cannot sign in, "Blocked" — sign-in is closed by the school |
| "Last login" | When the student last signed in to the student portal |
| "Registered" | The sign-up date |

In the student's "⋯" menu:

- "Course access" — grant, extend, freeze or revoke access;
- "Quiz results" — scores and attempts, retakes. Described on the [Quizzes](https://support.watbot.org/schools/quizzes) page;
- "Block sign-in" or "Allow sign-in";
- "Delete".

The list is visible to the school owner and team members with the "View students" permission. The owner and a team member with the "Manage students and access" permission can change access, block and delete.

## Course access

A student gets access on their own — when they enroll in a free course or pay for a package. You can also manage access manually in the "Course access" window.

The window lists the student's courses: progress, status and the "Access until" field.

| Status | What it means |
|---|---|
| "Active" | The student is studying |
| "Frozen" | Access is suspended, the term is paused |
| "Expired" | The date from the "Access until" field has come |
| "Revoked" | The school has closed access |

### Grant access

1. At the bottom of the window, choose a course.
2. If needed, set the access end date. An empty date means unlimited access.
3. Click "Grant".

This way you can also open a paid course without payment. If a chatbot is connected, the student receives a notification about the opened course.

### Extend or shorten the term

Change the date in the "Access until" field in the course row — the change is saved immediately. Clear the field to make access unlimited.

### Freeze

The "Freeze" item in the course row menu suspends access: the student sees "The school has paused your access to this course." The term stops: as many days as were left will remain after unfreezing. To restore access, use the "Unfreeze" item.

### Revoke

The "Revoke" item closes access to the course. The student sees "The school has closed your access to this course." The progress is kept and will come back if you open access again.

## Blocking and deleting a student

**"Block sign-in"** closes the whole cabinet for the student: open sessions end immediately, and when signing in the student sees "Access to the student portal is closed. Please contact the school." Course access is kept. To restore sign-in, use "Allow sign-in".

**"Delete"** removes the student from the school: they lose access to the student portal and courses. Orders and reviewed assignments are kept. If within 30 days the student signs in again with their email and password, the account is restored together with the progress. After this period, the account is deleted permanently.

## Chatbot and messenger notifications

You can connect a project chatbot to the school. Through it, the student:

- receives notifications: course access is open, a new lesson has opened, an assignment was accepted or returned, the curator answered, a certificate was issued;
- opens the student portal right in the messenger, without a password.

A bot with Telegram or MAX connected will do. How to connect a messenger to a bot is described in the [Connecting channels](https://support.watbot.org/chatbots/channels) section.

### How to connect a bot to the school

1. Open the school "Settings", the "General" subsection.
2. In the "Chatbot" block, choose a bot in the "School bot" field. The bot's messengers are shown next to its name.
3. Click "Save".

Once you choose a bot, "Mini app address" and "Messenger notifications" appear below.

> [!WARNING]
> If you change the school bot, all students are unlinked from the previous one: they need to connect the messenger again.

### The student portal inside a messenger

The "Mini app address" field shows the student portal address for each of the bot's messengers: separately for Telegram and for MAX. Copy the one you need and put it in a "Web App" type button in the bot scenario — this way the student opens the student portal right in the chat. How such a button works in different messengers is described on the [Messages and buttons](https://support.watbot.org/chatbots/blocks/messages) page.

The mini app address is always on the shared schools domain, even if your own domain is connected.

### How a student connects a messenger

Messengers do not let you message a person first, so the student starts the link themselves. There are two ways:

- **From the profile in the student portal.** In the "Messenger" block, the student clicks "Connect …", opens the bot and taps "Start". The bot recognizes them by the link and connects them to the school account.
- **From the mini app.** The student opens the student portal with a button in the bot. If the messenger is not linked yet, the student portal asks them to sign in with email and password — after signing in, the accounts are linked automatically. Next time no password is needed.

One bot contact is linked to one school student. The student can disconnect the messenger in the profile with the "Disconnect" button.

### Notification settings

The "Messenger notifications" block has six events:

| Event | When it is sent |
|---|---|
| "Course access granted" | The student enrolled in a course, paid for it or was granted access manually |
| "A new lesson opened" | The opening day of a lesson with delayed opening has come |
| "Homework accepted" | The curator accepted the assignment |
| "Homework returned" | The curator returned the assignment |
| "The curator answered a question" | An answer to a lesson question has arrived |
| "Certificate issued" | The student completed the course and received a certificate |

Each event has a switch and a text field. An empty field means the default text, shown in the field as a placeholder. In your own text you can use substitutions in curly braces: `{student}` — the student's name, `{course}` — the course, `{lesson}` — the lesson, `{school}` — the school name.

Changes in this block are saved immediately, separately from the "Save" button.

Under each message, the bot adds an "Open the lesson" or "Open the student portal" button. It lets the student into the student portal without a password and goes straight to the right page. The link in the button is valid for 60 minutes.

Notifications are sent only to those who have connected a messenger, have not unsubscribed from the bot and have not blocked it. The student can turn them off in the profile with the "Messages in the messenger" switch.
