Automatic mailing

An automatic mailing does not wait for a set time — it runs continuously: once a minute it finds contacts who now match its filters and sends them the scenario. Each contact receives it once.

It is used to build message sequences that start on their own: a contact gets the "Webinar" tag — and right away receives the first message of the sequence, a day later the second one, and so on.

How to create one

An automatic mailing is created in the "Mailings" section just like the others — by the steps of the form:

  1. "Settings" — the name of the mailing.
  2. "Subscribers" — the channels and filters. The filters decide who gets the mailing — for example, "Contains tags: Webinar". How filters work is on the Recipients and filters page.
  3. "Scenario" — what the contact will receive. A sequence is built with the "Delay" and "Timer" blocks: the first message, a one-day "Delay", the second message, and so on. How these blocks work is in the Delay and timer section.
  4. "Sending" — choose "Automatically — to new contacts who match the filters".

Click "Create", then "Start" on the mailing's page. Starting requires a Pro subscription. If the subscription ends, the mailing stops. After renewal, start it again — it will also send to those who started matching the filters while it was stopped.

Sending settings

  • "Also send to those who match now" — if on, the mailing also goes to the contacts who match the filters at the moment of launch. If off, only those who start matching after the launch get it.
  • "Send only during set hours" — the sending window: the "From" and "To" fields. Contacts who start matching the filters outside these hours get the mailing at the start of the window. The window can cross midnight, for example 22:00 to 06:00.
  • "Runs until" — the last day of work, inclusive. Without a date the mailing runs until it is stopped.
  • "Time zone" — the zone in which the sending window and the end date are calculated. By default it is the bot's time zone.

An automatic mailing does not need the "Subscribe audience" choice at the "Subscribers" step: it collects the recipients itself, every minute.

Who gets the mailing

A contact gets the mailing when they start matching its channels and filters. It does not matter how this happened: the tag was set by the "Assign tag" block, a mini app, the API, a contact import or an employee in the contact card.

  • The mailing checks contacts once a minute — including the number of referrals they have invited: when a contact gains or loses a referral, the mailing notices.
  • Each contact gets the mailing once. If they stopped matching the filters and then matched again, the mailing does not come to them a second time.
  • If thousands of contacts start matching at once — for example, after an import — the mailing sends to them in parts, over a few minutes.
  • Contacts who have unsubscribed from mailings, who have blocked the bot, and contacts from MAX do not get the mailing — just like a regular one. See the Recipients and filters page for details.

How to stop the sequence for a contact

The mailing sends the scenario once and does not track it after that. The scenario's "Delay" and "Timer" blocks fire at their time even if the contact no longer matches the mailing's filters.

To make the sequence stop, for example, for those who have already bought, put a "Condition" block before the messages: the contact has the "paid" tag — the branch ends; no tag — the next message goes out. An example of such a sequence is in the Delay and timer section.

Important

Stopping the mailing does not cancel the "Delays" already running in the scenario either: the mailing stops finding new contacts and sending to those who are still waiting.

Subscribing and unsubscribing manually

  • The "Subscribe to mailing list" block adds the contact to an automatic mailing even if they do not match the filters. The mailing goes to them at the next check. The block works until the mailing is finished — both while it is stopped and while it is sending.
  • The "Unsubscribe from mailing list" block and the trash icon in the list of recipients remove the contact from the mailing: they get the "Skipped" state, and the mailing no longer comes to them, even if they match the filters.

The mailing's page

While an automatic mailing is running, its state is "Running", and in the list of mailings it is in the "Running" group.

  • "Subscribers" — how many contacts have entered the mailing: received it, are waiting to be sent or were skipped. Those who matched at the moment of launch with "Also send to those who match now" off are not counted.
  • "Skipped" — contacts removed from the mailing manually or by the block.
  • In the "Details" block — "To those matching at launch": whether the mailing was sent to those who matched at the moment of launch, and "Last check" — when the mailing last looked for new recipients.

If new recipients are waiting for the sending window, the page shows a hint with the window hours.

Stopping, editing and finishing

  • "Stop" — the mailing stops looking for new contacts and sending. After it is started again, it also sends to those who started matching the filters while it was stopped.
  • Editing is possible for a stopped mailing. If you changed the filters, the channels or "Also send to those who match now", the mailing starts as on the first launch: who matches now is determined by the new conditions. Those who have already received the mailing will not get it a second time. If only the name, the scenario or the sending window changed, it continues where it stopped.
  • "Runs until" — on the day after this date the mailing finishes and moves to the "Sent" state.

Limits

  • An automatic mailing takes a place in the limit on mailings running at the same time (24 per bot) for as long as it runs — between checks too.
  • One mailing — one scenario. If you have several sequences, make a mailing for each.
  • While an automatic mailing is running, the bot cannot be transferred to another account — stop the mailing first.
