Lists
A list is a table with your data that is stored in the project separately from contacts. A list has fields — columns with a name and a type — and records — rows. Records are entered by hand in your account, loaded from Excel, added by chatbots along the scenario and through the API.
Lists are used to store:
- a catalogue or a price list — name, description, price, photo;
- a schedule, branch addresses, answers to frequent questions;
- requests and questionnaires the bot collects in a conversation;
- promo codes, order numbers and other data the scenario writes and reads itself.
Where lists live
Lists belong to the project. A list created in one bot is available in the blocks of any other bot of that project.
The same lists are available to the project's mini apps as well.
All lists of the project are gathered in the "Lists" section of the project's menu. Under the name it says where the list was created: "created in bot “…”". If the bot has been deleted — "created in deleted bot “…”": when a bot is deleted, its lists stay in the project with their records unless you delete them together with it (see Copy, move and delete). On the right are the number of records and the number of fields.
- A click on a list opens its records.
- The "⋯" menu: "Rename", "Edit the list" (fields), "Delete".
- If lists were created in several bots, a choice appears above the list: "Whole project" or one of the bots.
- The order of lists is changed by dragging the icon on the left. It is shared by all members of the project. When one bot is chosen, dragging is turned off.

Lists created in a bot are also shown in the "Lists" section of that bot's menu, and from the block settings they open in a separate window — without leaving the scheme. This is covered on the page Lists in a chatbot.
Who works with lists
| Who | What it does |
|---|---|
| Chatbots | Read records and show them to people, add new ones, check whether a record exists and delete it — see Lists in a chatbot |
| Mini apps | Show records on screens, save forms, keep orders and favourites — see App data |
| AI chat | Creates lists and fills them with records at your request — see Creating a list with AI |
| Your website or service | Creates lists and manages records through the Lists API |
What you need
- A Pro subscription is not needed. You can create lists, fill them in, import and export them without a subscription. See the What is available without Pro page for details.
- Team member permissions. The project owner can do everything. A team member's permissions for lists are set in their role — in the "Lists" block:
| Permission group | Permissions |
|---|---|
| "Lists" | "Viewing lists", "Creating lists", "Editing lists", "Deleting lists" |
| "List records" | "Viewing records", "Creating records", "Editing records", "Deleting records" |
Import from Excel requires the "Editing lists" permission, export — the "Viewing records" permission. How to give a team member access is covered on the Team and access page.
Limits
- A project can have no more than 5000 lists. When the limit is reached, the "Create" button in the project's menu is disabled.
- A list has from 1 to 100 fields.
- The name of a list and the name of a field are up to 255 characters long.
Tables are a different thing
In the project's menu, in the "More" group, there is a "Tables" section. These are spreadsheets with sheets and columns A, B, C…; the bot can only read their rows.
The bot works with Google Sheets through separate blocks — after a Google account is connected.
The blocks for tables are described on the Lists and tables page.
